Payment and Receipt Guidelines:
  • Official receipts/invoices will be issued by the National Treasurer at the venue, provided that the exact registration fee has been received by PSITE. Any additional fees imposed by payment gateways must be covered by the payer.
  • Only registered and fully paid participants (no promissory notes) will be allowed to enter the venue.

  • Only fully paid registrations will be considered, and registration will close once the venue’s capacity is reached.
QR Ticket Requirement:
  • A QR ticket will be issued to all fully paid participants before the event date. This QR ticket is mandatory for entry. No QR ticket, no entry.

Election Guidelines 

Philippine Society of IT Educators (PSITE)

I. Purpose

These guidelines establish a transparent, fair, and efficient election process for selecting five (5) members of the PSITE Board during the annual convention.

 

II. Election Committee (EleCom)

  • The Election Committee (EleCom) shall consist of three (3) members. The PSITE VP Internal shall serve as the Chair of the EleCom. The remaining two (2) members shall be appointed by the outgoing PSITE President.
  • Members of the EleCom cannot be candidates in the election.
  • Responsibilities:
    • Plan, organize, and manage all aspects of the election process.
    • Develop and publish an election calendar with specific deadlines.
    • Verify the eligibility of candidates and voters based on established criteria.
    • Prepare and distribute election materials (ballots, voter lists, etc.).
    • Conduct the voting process in a secure and impartial manner.
    • Tabulate votes accurately and transparently.
    • Announce the election results.
    • Address election-related inquiries and concerns
    • Document the entire election process, including minutes of meetings and vote tallies.

 

III. Eligibility

  • Candidates:
    • Must be an active member of PSITE in good standing for at least twelve (12) months prior to the election. Honorary members (National and Chapter) are likewise qualified.
    • Must be a registered delegate of the convention.
    • Must be present (in person) during the presentation of the candidates to the assembly
  • Voters:
    • Must be a registered delegate of the convention and must be physically present to cast their ballots. 
    • Must be an active member of PSITE in good standing at the time of voting.
  • Nominators:
    • Must be a registered delegate of the convention 
    • Must be an active member of PSITE in good standing 

 

IV. Nomination Process

  • The EleCom will open the call for nominations for the PSITE Board  on the first day of the convention.
  • Submission of nominations:
    • Nominations must be submitted thru the election portal (or equivalent)
    • The nominee must accept the  nomination at a specified date and time. 
  • The EleCom shall verify the eligibility of the nominees and announce or publish the final list of candidates  as one of the morning agenda during the second day of the convention. 
  • The EleCom may organize a candidate forum (in-person) prior to the election to allow candidates to present their platforms

 

V. Election Process

  • Voting:
    • Voting shall take place during a designated period on the second day of the convention.
    • Each eligible voter may cast votes for up to five (5) candidates.
    • The EleCom shall determine the voting method (electronic, paper ballot, or hybrid) and ensure its security and integrity. If electronic voting is used, measures must be in place to prevent multiple voting. Clear instructions must be provided to voters.
  • Counting of Votes:
    • The EleCom shall conduct the vote count immediately following the close of voting.
    • All members of the EleCom must be present during the counting. Observers from PSITE may be allowed with prior approval of the EleCom.
    • The counting process shall be transparent and documented.
  • Declaration of Winners:
    • The five (5) candidates receiving the highest number of votes shall be declared elected to the Board.
    • In the event of a tie for the fifth position, a runoff election shall be conducted promptly among the tied candidates. The EleCom shall determine the method and timing of the runoff.

 

VI. Post-Election

  • The EleCom shall announce the election results after the last talk on the second day of the convention. The announced results are final. Results shall also be published on the PSITE website and other official channels.



VII. General Provisions

  • The EleCom has the authority to interpret and implement these guidelines. Any necessary clarifications or adjustments to procedures must be communicated to the membership promptly.
  • These guidelines shall be reviewed and updated at least annually by the PSITE Board.
  • In case of any unforeseen circumstances that may affect the election process, the EleCom, in consultation with the PSITE Board, shall have the authority to make necessary decisions to ensure a fair and orderly election.

Initially, we are prioritizing existing active members of PSITE within the AY 2024-2025 (April 1, 2024 – March 31, 2025). Non-members may join this event at a later time.

A convention fee of Php 6,000.00 includes access to the convention, resources, and meals. Transportation and accommodation expenses are not included.

No. All registration and payment processes are online. On-site or walk-in registrations will not be entertained. No QR ticket, no entry.

The convention fee is Php 6,000.00 for the Early Bird rate and Php 7,000.00 for the regular ticket. PSITE National must receive the exact amount of the indicated registration fee. Payers must shoulder other fees and/or taxes being imposed by the payment gateway.

No. Registrations with no proof of payment attached is unverified. Once your registration and proof of payment is verified, we will email you a confirmation of receipt within 14 days. 

Please pay the convention fee and attach the proof of payment in the provided Google Form. 

If you are waiting for your company subsidy, please pay ahead to secure your seat while the registration is open. If we reached the maximum capacity of participants, we will close the registration. Unpaid registrations will be discarded.

Please make sure that you attached the proof of payment in the Google Form registration. Once we verified your payment, a confirmation of payment will be sent to you within 14 days. The official receipt will be distributed by the National Treasurer on the first day of the event.

Do not book an accomodation or buy a plane ticket to Bohol if your registration is not verified. PSITE will not be liable for these kind of actions.
